General Information 2023 

 

WHAT WE PROVIDE

  • Reserved location.
  • One 1.8m x 60cm trestle table and two folding chairs.
  • Additional sets of tables and chairs if pre-ordered and paid for.
  • A pop-up gazebo measuring 3m x 3m – stalls on Trafalgar Square’s North Terrace will be provided with 5m x 5m marquees instead.
  • 2 x 13A 240V electricity sockets for stalls on Trafalgar Square’s North Terrace only.

 

WHAT STALLHOLDERS PROVIDE

  • Signage and décor – nothing should be attached to the gazebo or marquee
  • Staff – someone from your organisation must be present at all times from 11:30am until 20:00pm

 

TRADERS

All stalls that wish to sell goods (rather than give out free literature) must have applied for and obtained a Temporary Street Trading Licence from the City of Westminster. You will need to provide evidence of £3m of public liability insurance cover as part of the application. We advise you to bring a paper or electronic copy of your license and insurance certificate with you on the day in case Westminster City Inspectors or Pride in London volunteers require further evidence of it.

You must send us a final product / price list by Friday 17th June . We will forward this to Westminster Street Trading Team who may inspect your stall on the day. All goods sold should match their description, otherwise traders must be prepared to offer a refund, replacement or partial refund, and items should have appropriate labelling where applicable.

You should also have price lists clearly displayed on your stall at all times, including a version in large type (26pt type) for accessibility.

 

BUILD, OPERATING HOURS & BREAKDOWN

On the day your Pride in London contact will be the volunteer(s) managing the square you are in. Please bear in mind they have a lot to organise and keep under control so please be patient and reasonable with them. If they ask you to do something you aren’t happy with there will be a good operational reason - so please comply. We reserve the right to remove your group from the event without a refund if you fail to do so. We may prevent you from applying in the future too.

If you have any pre-event queries then please email the stalls team. We’ll give you a mobile contact for emergencies on the day, nearer the time, but you should try to speak to the Pride in London square management volunteers to resolve your issue in the first instance.

If you are not using public transport to get to your stall on the day bear in mind the Westminster street closures for the event. We can’t provide special access (except for Trafalgar Square, as below) or parking and you are entirely responsible for any charges, fees or fines related to your vehicle entering London and/or parking.

 

Trafalgar Square

Access to all stalls will be from Pall Mall East, off Pall Mall. We recommend arriving on foot or via public transport where possible. Stallholder groups can arrive at Trafalgar Square on Saturday 1st July between 09:30am and 11:30am – if a commercial stallholder requires access earlier than this then it may be requested in advance, however early access is not guaranteed.

All stallholder volunteers and staff will need to wear a wristband from the allocation provided to the stall contact before the event. You should ensure all your staff have these before they enter Trafalgar Square otherwise they will need to queue for entry along with members of the general public and may even be denied entry at busy times. The wristbands are not transferable and only allow the bearer to jump to the head of the public queue for Trafalgar Square in order to undertake their stall duties. They do not grant any other access.

All stalls must be ready for agency sign off by 11:30am on Saturday 1st July.

Trafalgar Square will be open to the public on Saturday 1st July from 12:00 noon and stallholders can operate until the Event officially closes to the public at 20:00pm. Please note that it may be necessary to begin closing the Event early, from 19:30pm. The square manager will inform you if this is the case.

All stalls must be empty (except for any tables and chairs we provided) by 21:00pm on Saturday 1st July at the latest. Marquees and gazebos may begin to be dismantled at the same time as the Event closes, so it is in the interest of stallholders to empty their stall as promptly as possible.

Pre-registered vehicle access for the get out is between 20:00pm and 21:30pm on Saturday 1st July, again via Pall Mall East. Stallholder vehicle access after 21:30pm is not guaranteed, so any remaining items will need to be moved by hand to vehicles parked outside of the Event arena.

 

Soho Square and Golden Square

Stalls at each of these locations are on the public highway and can be accessed via all nearby streets. Vehicular street closures will be in operation as dictated by Westminster and TfL and you will not be able to circumvent those closures to access your stall with a vehicle. We recommend arriving on foot or via public transport where possible. Community stallholder groups can arrive at their appointed site on Saturday 1st July between 09:30 and 11:30. All stalls must be ready for agency sign off by 11:30 on Saturday 1st July.

The squares will be open to the public on Saturday 1st July throughout the day, and stallholders will be expected to operate from 12:00 noon until the stalls close to the public at 20:00pm. Please note that it may be necessary to begin closing the stalls 30 minutes early – the site manager will inform you if this is the case. Otherwise you must not close your stall until the event ends.

All stalls must be empty (except for any tables and chairs we provided) by 21:00pm on Saturday 1st July at the latest. Marquees and gazebos may begin to be dismantled at the same time as the Event closes, so it is in the interest of stallholders to empty their stall as promptly as possible.

There is no vehicle access for stalls when deconstructing, so any remaining items will need to be moved by hand to vehicles parked outside of the Event arena.

 

WATER SUPPLY & WASTE DISPOSAL

Mains water and waste disposal are not provided. You must clear your stall of all materials and waste at the end of the event. We ask you to take all waste away with you and recycle it responsibly. Stallholders will be held responsible for any bulk waste left on the streets or in public bins that relates to their stall.

We are working on providing on-site recycling facilities for stallholders in future years.

 

Licencing

All questions regarding licencing should be directed to Westminster City Council

SAFETY

  • No glass should be brought into the public area.
  • Food and drink can only be sold buy our authorised food & beverage vendors. 
  • Commercial or community stalls should request permission should they wish to sell or give away food and/or drink.
  • All electrical equipment must carry PAT/electrical safety certification prior to any mains connection.
  • Equipment must be located in a weatherproof area. As far as is practicable, all electrical equipment shall be located so that it cannot be touched by members of the public or unauthorised staff and volunteers.
